Revised SOW for the Q4 rollout

Hi Dana — you asked for a revised SOW on Sep 22. Here's the updated scope with both new sites included…

Approve Edit Reject
  • Cites its sources

Every answer links the contacts, companies, deals and notes it was built from. Click through and check.

  • Reads, never writes

Grok can search and read your records. It cannot edit one, move a deal, or send an email.

  • Says “Unknown”

Missing data stays missing. No invented job titles, revenue figures, or “recent news”.

  • You approve every send

Drafts wait in a review queue. Sending is a separate, owner-gated step through your own Gmail.

Everything in one workspace

A complete CRM for small sales teams, with nothing to integrate

Records, pipeline, tasks and outreach share one timeline, so the AI has the full picture and so does your team.

Contacts and companies

Owners, lifecycle stages, lead status, notes and a full timeline on every record. New contacts join the company that matches their email domain. CSV import skips duplicates and tells you which ones.

SEO/AEO

Find what holds your site back. Approve every fix.

Kloshi crawls your public pages, runs deterministic SEO checks, and tests whether ChatGPT, Gemini and Perplexity cite you. Each finding comes with evidence, and each proposed fix is a before-and-after that waits for your approval.

Things it answers

  • Which pages have no meta description?
  • Does ChatGPT cite us for “best CRM for a small sales team”?
  • Which competitor domains show up instead of ours?
  • What content would change that answer?
  • Which fixes are waiting for my approval?

Grok proposes the fixes. A person approves them. Applying a change to your site is a separate step that is not automatic.

What it looks at

  • Your public pages: titles, descriptions, headings, links, structured data
  • Which answers ChatGPT, Gemini and Perplexity give to the questions your buyers ask
  • Where your site is cited, and which competitor domains are cited instead
  • Visits that AI engines send, through a snippet you install yourself

What it never does

  • Your site's admin, logins or private pages
  • Changes without your approval: every fix waits for a person
  • Another workspace's websites or findings
  • Any credential it was not explicitly given

Agent output is treated as untrusted: it is validated against a strict schema before anything is shown, and a result that does not validate is recorded as failed instead of being repaired by guesswork.

Prospecting agent

Outreach drafted for you. Sent only by you.

A play turns a slice of your CRM into personalized, reviewable drafts. People stay in the loop at every step that touches a real inbox.

  1. 01

    Define a play

Pick an audience from your CRM — lifecycle stage, lead status, owner, industry, how long they've been quiet — and write the goal in plain English.

  2. 02

    Grok drafts

One personalized email per contact, grounded in their notes, your approved company knowledge and your product catalog. Thin inputs get a shorter email and a “low confidence” flag, not fabricated detail.

  3. 03

    You review

Approve, edit-and-approve, or reject with a reason. Every decision is recorded. Nothing leaves the queue without a person.

  4. 04

    Send from the owner's Gmail

Approving never sends. Sending is its own step, and always goes out from the contact owner's connected mailbox, so replies land where they belong.

  5. 05

    Follow up and learn

Up to four follow-ups per play, each only after the previous email was sent and nobody replied. Replies and bounces on sent threads are detected daily; a reply stops the sequence.

Approve is not send

“Approved” means a human signed off. “Sent” means it actually left, from the right mailbox. Kloshi keeps them separate on purpose.

Sequences that know when to stop

Each follow-up is its own draft in the queue, created only when the previous step was sent, the delay has passed, and the outcome is still empty or “no response”.

Security and honesty

Built like a system of record should be.

Your CRM is where your customers' trust lives. These aren't settings to turn on; they're how Kloshi is constructed.

Membership verified on every request AES-256-GCM for credentials at rest No open-tracking pixels, ever
  • Tenant isolation by construction

Every record carries its workspace id and membership is re-verified on every request. Outsiders get a 404, never a 403, so workspace names can't be enumerated.

  • Personal details stay out of the model

Contact emails and phone numbers are never sent to Grok. Deal amounts reach it only as formatted text, never raw numbers.

  • No provider retention

AI requests run server-side only, with provider retention disabled on every call. Your questions aren't stored by the model provider.

  • Encrypted mailbox credentials

Gmail tokens are encrypted at rest with AES-256-GCM and bound to the user they belong to, so ciphertext can't be swapped between accounts.

  • Minimal Gmail scopes

Send, read the threads of messages Kloshi sent, and your address. Kloshi never lists or searches your inbox.

  • Audit log on every change

Creates, edits, deletes, approvals, sends and outcomes are logged per workspace, without personal data in the metadata.

  • AI usage guardrails

Monthly request, token and per-minute caps per workspace, visible in Settings and adjustable by owners. A runaway loop cannot create a surprise bill.

  • Safe website analysis

When Grok reads your website during onboarding, the fetcher refuses private networks, follows redirects by hand, bounds body size and honours robots.txt.

How it works

From sign-up to your first cited answer in four steps

Onboarding is a short guided flow. The only thing Grok uses to reason about your business is what you approve.

  1. Step 1

    Describe your company

Name, website, industry and what you sell. Two minutes, no integrations.

  2. Step 2

    Approve your company knowledge

Grok analyses your website into a summary, products, target customers and value propositions. You edit and approve it; nothing is used until you do.

  3. Step 3

    Add your contacts and companies

Create records from a side panel or import a CSV. Contacts link to companies by email domain automatically.

  4. Step 4

    Prospect, audit, close

Run a play and review the drafts, audit your website for search and AI-answer problems, and send from your own Gmail when you're ready.

Connect Gmail whenever you're ready to send; everything else works without it.

FAQ

Questions sales teams ask before they switch

Short answers, and a longer one on the Privacy Policy if you need it.

Do I need to connect HubSpot, Salesforce or another CRM?
No. Kloshi is the CRM. Contacts, companies, deals, tasks and notes live in your Kloshi workspace, and Grok reads from there. Bring existing data in with a CSV import.
Which AI model does Kloshi use, and what does it see?
Kloshi uses Grok from xAI, called server-side with provider retention disabled. It sees your approved company knowledge, your product catalog and the CRM fields listed above, scoped to one workspace. It never receives contact email addresses or phone numbers. See the Privacy Policy for the full list.
Can Grok change my records or send email on its own?
No. The prospecting agent produces drafts that sit in a review queue until a person approves them, and sending is a further explicit step that only works through the contact owner's connected Gmail. SEO/AEO fixes are proposals that wait for approval too.
What happens when Grok doesn't know something?
It says so. Fields the CRM doesn't hold render as “Unknown” or “—” in the app, and the model is instructed to state what's missing and what would resolve it rather than fill the gap.
How does sending work?
Each team member connects their own Gmail under Settings → Mailbox. An approved draft is sent from the mailbox of the contact's owner — never from whoever clicked the button. If that owner hasn't connected Gmail, the Send button is disabled with the reason, and nothing is queued.
Can Kloshi run without AI?
Yes. The CRM, deals board, tasks, import and team features work with no AI configured; the AI features simply show a clear “not configured” state.
How does the trial work?
Every new workspace starts on the Trial plan: 3 members and 300 AI requests a month, no credit card. When you're ready, an owner upgrades from Settings → Billing. Your data is never deleted because a trial period ended. Details on the pricing page.
